Job Summary
The Program Coordinator, NDAB will provide administrative support for a newly formed Office for Community Conduct (OCC) that will guide the ongoing implementation of non-discrimination and anti-bullying (NDAB) policies and procedures across the University.
Position Description
The Office for Community Conduct that will anchor NDAB work, seeks a strong customer service and administrative support professional to serve as a key member of the team. This position reports to the Associate Chief Diversity and Inclusion Officer. The Program Coordinator is the first point of contact for all community members engaging with the new office.
The incumbent will provide overall support for activities related to NDAB. Responsibilities include, but are not limited to:
- Greet all visitors in a welcoming and professional manner.
- Support in-person and virtual activities; assist with meeting arrangements, event and program logistics.
- Answer main office phone, respond to inquiries, take messages, direct incoming calls with efficiency and discretion.
- Handle policy and related process inquiries, triage for follow-up as needed.
- Manage the NDAB inbox, prioritize, file, and respond to general e-mail inquiries.
- Assess needs of individuals contacting NDAB and determine the appropriate course of action; research information, provide follow-up, and engage team resources as needed.
- Facilitate non-discrimination and anti-bullying case intake support.
- Lead daily office operations, handling projects such as mail, furniture, space, and technology maintenance.
- Assist with team financial processing: purchase office supplies, prepare vendor payment requests, prepare team expense reports, and assist with travel arrangements for the NDAB team.
- Organize team meetings, shared calendar, activities, and retreats.
- Support calendar management for the Associate CDIO.
- Contribute and engage with strategic discussions as an active member of the team.
- Capture meeting minutes and distribute notes and action items across constituents.
- Design and distribute office materials, templates, branded items.
- Edit digital documents, flyers, posters, and website as needed.
- Assist with communications efforts and campaigns.
- Assist with special projects and research as needed.
- Foster inclusive and accessible services and events while modeling University values.
