Job Summary
The Office of Undergraduate Research and Fellowships (URAF) facilitates access to research and fellowships opportunities for Harvard College students, regardless of background. Through interacting with the office, students deepen their intellectual engagement, build skills transferable across future endeavors, and expand
their personal horizons.
Reporting to the URAF Assistant Director, the Program Coordinator will be responsible for administrative support for the office and provide critical support in ensuring timely and accurate flow of communication among staff, students, and visitors.
Position Description
The Program Coordinator working in tandem with the administrative coordinator:
- Process applications for research and fellowships opportunities, especially during peak deadline periods.
- Collect and track pre-departure requirements, Institutional Review Board approval documents, midyear and final reports for opportunity awardees where applicable.
- Draft requirement reporting documents and communicate with relevant program lead about awardee
compliance. - Compile information about applications and recipients for research and fellowship awards, contributing to internal and external-facing outcome reporting.
- Assist with event planning and logistics (catering, space reservations, media set up, Zoom meeting management and creation etc.) of information sessions, open houses, and large-scale events.
- Download, minimally edit, and post Zoom information sessions and instructional videos.
- Upload and enter funding decisions into CARAT database.
- Other duties as assigned.
Basic Qualifications
- High school diploma or GED required
- 3 years of administrative experience required; education beyond high school may count towards experience
- Hands-on experience using Microsoft Office (Excel, Outlook, PowerPoint, and Word), Adobe Acrobat, and Zoom
- Strong verbal and written communication skills
- Superb attention to detail
- Manage confidential information with utmost discretion.
Additional Qualifications and Skills
- Bachelor’s degree preferred
- Demonstrated ability to think quickly, manage multiple priorities, and generate solutions when unexpected
problems arise - Flexible team player with a positive attitude and excellent problem-solving skills
Extensive training and support will be provided by the URAF and University administrative teams. The ideal candidate will be a highly motivated, solution driven individual who takes initiative and works well both independently and in a team approach.
Additional Information
This position will be based on our campus in Cambridge, MA. The role requires 14 hours of week per week at $30/hr. Hybrid arrangements may be possible with specific days and schedule determined between the employee and the manager following the orientation period.
